Arts Coordinator
Job description
NBCUniversal is seeking a highly organized, customer-focused Coordinator to support the planning, coordination, and execution of production operations. This role partners closely with internal teams to help ensure production support is delivered on time, within budget, and with an exceptional white-glove client experience throughout the production lifecycle. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, collaborative environment.
What You’ll Do
• Support daily office operations and client-facing services, delivering a welcoming, organized, and responsive experience.
• Coordinate production support projects from intake through completion under the direction of the Senior Manager.
• Partner with Client Experience, Facilities, Labor, Property, Production, and clients
• Coordinate project schedules, labor, and operational activities while maintaining proactive communication with clients and internal teams to deliver a seamless experience.
• Track project budgets, approvals, estimates, billing, labor distributions, charge codes, and financial documentation throughout the project lifecycle.
• Maintain project trackers, Archibus services tickets, calendars, production documentation, operational databases, and departmental reporting.
• Keep the team ahead of the curve through proactive industry awareness and research
• Willingly and competently step into a project driver role as needed for team projects

• Juggler – You know how to manage multiple tasks and priorities and move them all along effectively while keeping stakeholders updating and informed
• Creative – You seems to always find a way to solve things no matter how perplexing they may first appear
• Industry-insider – Industry knowledge with hands-on experience supporting film and television productions.
• Tech-savvy – You are an MS Office whiz, Photoshop/Canva, Air-table and can take on new software with ease
• Resourceful – If you don’t have the answer, you figure it out. You’re comfortable navigating a complex environment to obtain info and seek buy-in
What You Must Have:
• Bachelor’s degree in related field
• 1+ years of experience in a professional work setting
What Would Make You a Stand-out:
• Experience with ServiceNow, RTPro and Archibus
• Strong proficiency in Air-table, Paint, CANVA, Photoshop, Microsoft Office applications: Word, Excel, PowerPoint, and Outlook

• Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
